What Claude is, and when a 10-to-50-person business would pay $20 a seat for it
Claude is Anthropic's AI assistant. Since May 2026 it connects to QuickBooks, HubSpot and Microsoft 365. Here is who in your office should get a seat, and who should not.

Claude is a chat assistant like ChatGPT, made by Anthropic. It reads long documents well and writes in a plain tone, which suits contracts, proposals and client letters. For a small business the question is not which model is smarter this month. It is whether a seat saves more than its cost. Take a 9-person bookkeeping firm in Boise. Five staff write client emails, review engagement letters and prepare month-end notes. On Claude Team at $20 per seat billed annually, five seats cost $1,200 a year. If each person saves 1 hour a week, that is about 20 hours a month. At $35 an hour of staff cost, that is $700 a month against $100 in seats. The four bookkeepers who only reconcile in QuickBooks may not need a seat at all.

The short version
- Claude is Anthropic's AI assistant. On the Team plan a standard seat lists at $20 a month billed annually, $25 monthly, with a 2-seat minimum.
- It is strongest at reading and writing long documents. Since May 2026 it also works inside QuickBooks, HubSpot, Google Workspace and Microsoft 365.
- Give seats to the people who write or review documents daily. Field staff and pure data-entry roles usually do not need one.
1. What it is
Claude is a family of AI models and a chat app made by Anthropic, a San Francisco AI company. You use it the way you use ChatGPT: type a request, attach a file, get a draft or an answer.
Owners usually meet it in one of three places:
- The Claude app on the web, desktop or phone.
- Claude Cowork, a workspace inside the app where Claude can take multi-step actions in connected tools.
- Inside other software. Some vendors build Claude into their products. You may already be using it without the name on the label.
2. What it is good at in a small office
From our own use and the vendor's stated focus, Claude does well on four kinds of work:
- Long documents. Engagement letters, lease agreements, insurance policies, bid packages. Ask it to list the obligations, deadlines and anything unusual.
- Plain writing. Client emails, proposals and policy drafts. Its default tone is calm and direct, which suits accountants and law offices.
- Spreadsheets and numbers. Paste a job-cost export and ask where margins slipped. Check the math it shows you.
- Multi-step office work through connectors. This is the 2026 change, covered next.
It is weaker where any chat assistant is weak: current local facts, anything it cannot see, and judgment calls that depend on context you did not give it.
3. What changed in 2026
On May 13, 2026, Anthropic launched Claude for Small Business. It is a toggle inside Claude Cowork that adds connectors for Intuit QuickBooks, PayPal, HubSpot, Canva, Docusign, Google Workspace and Microsoft 365. Anthropic says it ships with 15 ready-to-run workflows across finance, operations, sales, marketing, HR and customer service. Named jobs include payroll planning, month-end close, invoice chasing, margin analysis, contract review and lead triage.
The control model matters more than the feature list. Anthropic says every task "is initiated by you," and you approve the plan first. Keep it that way until you trust it on your data.
4. A worked example: a 9-person bookkeeping firm
A 9-person bookkeeping and tax firm in Boise has 140 monthly clients. Five people write client emails, review engagement letters and prepare month-end notes. Four bookkeepers mostly reconcile inside QuickBooks.
Who gets a seat. The five writers. On Team at $20 a seat billed annually, that is $100 a month, or $1,200 a year. Monthly billing at $25 a seat is $1,500 a year.
What it does for them. Month-end summaries drafted from the QuickBooks numbers, client emails drafted from notes, engagement letters checked against the firm's template. If each person saves 1 hour a week, the firm gets back about 20 hours a month. At a $35 hourly staff cost (use yours), that is $700 a month.
What it does not do. It does not reconcile the books. It does not replace the reviewer who signs off. A wrong number in a client summary is still the firm's mistake.
5. What it costs
As of October 2026, Anthropic lists:
- Free: $0, limited use.
- Pro: $17 a month billed annually, $20 monthly. One person.
- Max: from $100 a month. One heavy user.
- Team standard seat: $20 per member per month billed annually, $25 monthly. Minimum 2 seats, maximum 150.
- Team premium seat: $100 annual, $125 monthly, about five times the standard usage. You can mix seat types.
- Enterprise: $20 a seat plus usage at API rates, annual only.
For a business, use Team, not a pile of Pro accounts. Team gives you central billing, SSO, admin controls and the connectors. Anthropic says Team and Enterprise data is not used for model training.
6. Claude or ChatGPT?
On price they are the same: $20 a seat billed annually, $25 monthly, 2-seat minimum. So decide on fit:
- Which one connects to the software you run? Both now reach Microsoft 365 and Google Workspace. Check your field-service or practice software separately.
- Which one do your people actually open? Run a two-week trial with three staff on each and ask them.
- Do not pay for both across the whole company. Pick one, and allow a second only for a named reason.
7. What to ignore
Ignore benchmark charts. The lead changes every few months and does not tell you whether your office manager saves an hour. Ignore premium seats until someone hits the standard limit in normal work.
8. What to do
- List who writes or reviews documents every day. That is your seat count.
- Start Team with that group, billed monthly for the first 60 days.
- Write a one-page use policy: what client data can go in, who reviews outputs, what never gets sent without a human read.
- Count hours saved. Switch to annual billing only if the numbers hold.

Neither wins across the board, and both change every few months. They cost the same per seat on their business plans. Pick the one that connects to the software you already run and that your staff prefer after a two-week trial.
- Does Claude train on my business data?
Anthropic says data is not used for training on Team and Enterprise plans. Check the current terms before you put client files into any AI tool.
- Does Claude work with QuickBooks?
Yes. Anthropic's Claude for Small Business, launched May 13, 2026, includes a QuickBooks connector and workflows such as month-end close and invoice chasing. You approve the plan before it runs.
